Project Summary
A Medical Equipment Provider's inbound email volume contained a mix of sales inquiries, service requests, and compliance-sensitive communications — all processed manually, inconsistently, and at meaningful PHI exposure risk. We implemented an intelligent email-driven automation workflow using Azure OpenAI for disposition classification into four defined action categories, combined with Power Automate for downstream CRM updates, personalized outbound outreach, human-review escalation routing, and complete correspondence logging — all designed with HIPAA-aligned data handling controls from the architectural foundation.
Challenge
Manual email triage in a healthcare-adjacent environment created inconsistent response quality, missed follow-ups, CRM data gaps, and meaningful Protected Health Information (PHI) exposure risk — with no intelligent classification, escalation routing, or systematic audit trail in place for compliance purposes.
Key Outcomes
- Intelligent email classification across four defined action categories using Azure OpenAI with business-rule guardrails and confidence thresholds
- Automated tokenized outbound email generation using CRM deal data matched to defined qualification and targeting criteria
- Full inbound and outbound correspondence logged to CRM contact records, creating a complete communication audit trail for compliance review
- Ambiguous and high-risk email cases automatically routed to a human-review queue with structured next-step guidance for the review team
- CRM property updates driven by indicators extracted directly from message text and action outcomes — reducing manual data entry
- HIPAA-minded design throughout: least-privilege access, PHI minimization, controlled data retention, and encrypted storage and transport
