Project Summary
Government network administrators previously managed Port/Protocol/Service/Management (PPSM) requests through manual, ad-hoc processes prone to version conflicts, lost approvals, and miscommunication between requestors and Security Architects. We designed and deployed a Power Apps solution that centralizes and formalizes the entire PPSM lifecycle — from detailed multi-tab request creation through multi-level security approval, automated notifications, and a comprehensive audit trail ensuring full accountability across a complex defense environment.
Challenge
Manual PPSM management in a defense environment created version control failures, no audit trails, zero visibility into approval status, and high risk of miscommunication on complex technical security specifications — all in a zero-tolerance compliance setting where errors carry significant operational and security consequences.
Key Outcomes
- Centralized PPSM request process eliminating version conflicts and manual routing errors across all network admin teams
- Automated email notifications to Security Architects upon submission with integrated approval/rejection workflow and structured notes fields
- Comprehensive History Log tab tracking every action — edits, approvals, rejections — with timestamps and user attribution for full audit compliance
- Multi-tab request forms capturing header data, source/target systems, application details, connection specs, and IP group configurations
- Role and permission management ensuring appropriate access at each stage of the complex multi-level security approval chain
- Dramatically reduced miscommunication between requestors and approvers through structured, real-time status visibility across all stakeholders
